What drives the cost

A virtual mailbox's advertised starting price covers a fixed number of mail items and, on most plans, no free scans. The real monthly total depends on how the provider charges for what happens after the mail arrives.

Per-item open and scan fees. iPostal1 charges $2.25 to open and scan an item up to 10 pages (Checked September 25, 2026). PostScan Mail charges $2.00 per envelope for the same allowance, after any free scans included on the plan (Checked September 25, 2026). Both add a per-page fee above 10 pages.

Per-page scanning. Traveling Mailbox meters scanned pages rather than items: each plan includes a page-scan allowance, and pages over that allowance are billed at $0.50 each (Checked September 25, 2026). A handful of long documents can use up the allowance faster than the same number of short letters.

Bundled scans. PhysicalAddress.com bundles a set number of content scans into each plan and charges $0.20 for each item over the envelope or content-scan count (Checked September 25, 2026). US Global Mail's Scale plan includes about 30 interior scans a month, then $3.00 per extra scan (Checked September 25, 2026).

Forwarding is billed separately from scanning at every provider in this calculator, and none of them include postage in a forwarding fee. A shipment's total cost is the provider's handling charge, where one is published, plus whatever the carrier charges to move the package.

How the estimate is calculated

For each provider, the calculator checks every published plan and keeps the one with the lowest total at the volume entered, then adds usage fees on top of that plan's base price. See virtual mailbox providers compared by fees for the plans themselves side by side.

  • iPostal1: base plan price plus $0.35 for each mail item over the plan's allowance, plus $2.25 per scan (plus $0.25 per page over 10), plus $4.95 per 5 checks deposited, rounded up. Forwarding is carrier rates, so no handling dollar amount is added, just a note that postage applies. See a closer look at iPostal1.
  • PostScan Mail: base plan price plus $0.50 per item over the plan's allowance, plus $2.00 per scan beyond the plan's free scans (plus $0.25 per page over 10), plus $2.00 for the first forwarding shipment and $0.50 for each additional one. Check deposit fees aren't published, so any checks entered are flagged. See a closer look at PostScan Mail.
  • PhysicalAddress.com: base plan price plus $0.20 for each envelope over the envelope-scan allowance and each opened item over the content-scan allowance. The pricing page doesn't say whether the $0.20 fee applies per envelope, per opened item or per page, so this calculator treats it as one fee per item over each allowance. Forwarding and check-deposit fees aren't published.
  • Traveling Mailbox: base plan price plus $0.25 per envelope over the plan's allowance, plus $0.50 per scanned page over the plan's page allowance, plus $2.00 per forwarding shipment and $4.95 per check deposited, both plus postage.
  • US Global Mail: the Scale plan at $49.00 a month plus $3.00 per interior scan over 30. The provider's own page shows a higher figure for annual billing than for monthly billing, which looks like a labeling issue, so this calculator always uses the monthly price for US Global Mail and labels the row that way.

Anytime Mailbox is priced per location rather than on one published national table, and Earth Class Mail's base plan price isn't published on its own site, so neither is calculated. Both get an explanatory row with a link to the official page instead.

Totals are calculated in cents and rounded half up to two decimals. When Annual billing is selected, the base price already reflects each provider's published annual discount, and the yearly figure is the monthly total multiplied by 12.

PhysicalAddress.com and PostScan Mail both carry a flag here: PhysicalAddress.com doesn't publish a forwarding or check-deposit fee, and PostScan Mail doesn't publish a check-deposit fee, so the shipment and checks in this example aren't fully priced in. With the strict filter on, hiding those two rows, the cheapest fully priced total is iPostal1 Green at $26.19, plus postage on the forwarding shipment.

Assumptions and limits

  • Postage, taxes and location surcharges are excluded from every total. Forwarding rows say "plus postage" for that reason.
  • Anytime Mailbox is priced per location rather than on one national table, so it isn't calculated. Earth Class Mail's base plan price isn't published on its own site, so it isn't calculated either. Both link to the official page.
  • Where a provider doesn't publish a fee for forwarding or check deposit, the total below leaves that cost out and the row is flagged. Turn on the strict filter to hide those rows entirely.
  • Prices were checked on the date shown next to each row. Provider pricing pages change, and the provider's own terms and invoice control the final amount.

Questions about virtual mailbox costs

How much does a virtual mailbox cost per month?

Starting prices run from about $7.98 to $10.00 a month at the providers in this calculator: PhysicalAddress.com Plan 30 at $7.98, iPostal1 Green at $9.99, and PostScan Mail Starter at $10.00. That starting price usually covers a set number of mail items and, on most plans, no free scans. Scans, forwarding and check deposits are what usually decide the real monthly total, which is why the calculator above asks for those numbers instead of just naming a plan.

Why can a cheaper plan end up costing more?

A plan with a low base price can charge more per scan, per page or per extra mail item than a pricier plan does. At higher mail volumes those per-item charges add up faster than the gap between the two base prices, so the plan that looked cheaper on the provider's homepage can end up costing more once actual usage is added in. The worked example above shows PhysicalAddress.com staying at $7.98 while iPostal1 and Traveling Mailbox both pass $26 once checks and forwarding are added.

Does the forwarding fee include postage?

No. Every provider in this calculator bills forwarding separately from postage. Traveling Mailbox states its forwarding fee as "postage plus $2 per shipment", and PostScan Mail's forwarding fee is "$2.00 for the first item, then $0.50 per additional item," in both cases on top of what the carrier charges. iPostal1 forwards at carrier rates with no separate handling fee shown. PhysicalAddress.com doesn't publish a forwarding fee at all.

Which virtual mailbox providers deposit checks, and what does it cost?

iPostal1 charges $4.95 to deposit up to 5 checks, plus the cost of the check scans and trackable shipping. Traveling Mailbox charges $4.95 per check plus postage. US Global Mail deposits checks with no handling fee within an active paid plan. PostScan Mail and PhysicalAddress.com don't publish a check-deposit fee on their pricing pages, so the calculator flags those rows instead of guessing a number.

Is annual billing cheaper?

Usually, yes, for the base plan price. iPostal1 and Traveling Mailbox both give two months free on annual billing. PostScan Mail's annual plans also raise the number of free open-and-scan items included. PhysicalAddress.com takes 20% off annual plans. US Global Mail's page shows a higher monthly figure under its annual toggle than under monthly billing, which looks like a labeling issue, so this calculator uses monthly pricing only for US Global Mail.

Why isn't Anytime Mailbox included in the calculation?

Anytime Mailbox prices each of its locations separately rather than publishing one national fee table. Its own site quotes plans "from $9.99 per month" with some listings as low as $4.99 and vanity addresses running up to $50, but the included items, scans and overage fees live on each location's own page. Because there's no single published formula to apply, the calculator shows an explanatory row with a link to the location search instead of a computed total. How this page is sourced

Cedrick Reese built this calculator for VirtualMailboxBusiness.com using only fees that providers publish on their own pricing pages. The formula picks, for each provider, the lowest plan that covers the entered volume, then adds per-item, per-scan, forwarding handling and check deposit fees. Postage and taxes are left out because they vary. The embedded fee table is rechecked against the official pricing pages on a regular cycle, and the last-checked date is shown next to every provider.
