What to Update When You Cancel a Virtual Address Used on an LLC

What to update, and in what order, when you cancel a virtual mailbox your LLC uses as its address.

If you cancel a virtual address used on an LLC, no record changes on its own. The old address stays on the LLC's state filing, its IRS record and everywhere else it was listed until each one is updated, and USPS rules say neither you nor the provider files a change-of-address order.

The Domestic Mail Manual says "the CMRA must remail mail intended for the addressee (customer) for at least 6 months after the termination date," but provider terms differ, so update the records before the mailbox closes. Checked October 2, 2026 (source: pe.usps.com, opens in new tab)

Where the old address can be on record

An LLC's address usually lives in more than one place, and each place is updated separately. Work through this list before the mailbox closes. The sections below give the form, fee and deadline for the official records. Cancelling a mailbox does not dissolve or withdraw the LLC. Closing the LLC is a separate state filing that this page does not cover.

The state record and the registered agent

A registered agent is a separate record from the mailing address. If the mailbox plan included registered agent service, cancelling it also ends the agent. Florida requires every LLC to "designate and continuously maintain" a registered office and agent in the state (Checked October 2, 2026 (source: flsenate.gov, opens in new tab)). Texas warns that an entity may be terminated or have its registration revoked for failing to maintain them, so "any change should be submitted promptly" (Texas SOS Form 401 instructions). The filing route differs by state. The table shows four states as examples, with the fees each agency's own page lists. Other states need their own check.

The IRS record

The IRS says to use Form 8822-B "to notify the Internal Revenue Service if you changed your business mailing address, your business location, or the identity of your responsible party." A change in the responsible party must be reported "within 60 days of the change" (Checked October 2, 2026 (source: irs.gov, opens in new tab)). For an address change, Publication 15 says to "notify the IRS immediately" and gives no number of days. An LLC member manager, owner, officer or authorized representative signs the form. What happens to mail after you cancel

USPS rules cover the handoff. The Domestic Mail Manual says "when the agency relationship between the CMRA and the addressee terminates, neither the addressee nor the CMRA will file a change-of-address order with the Post Office." It adds that the CMRA must remail mail for the customer "for at least 6 months after the termination date" (DMM 508.1.8.4). Form 1583 repeats that the applicant and the agent "must not file a change of address order" and that transferring mail to another address is their responsibility (PS Form 1583, June 2024).

Providers describe their own handling, and the pages do not all match the six-month rule. Read the closing terms before cancelling.

The pages conflict, so ask support before closing.
PhysicalAddress.com"If you have completed the USPS 1583 form, USPS regulations require us to accept your mail for 6 months after you cancel your account," with scanning included and forwarding at extra cost (knowledge base, modified January 30, 2024).

Notice periods for cancelling were not published on the pages checked for Anytime Mailbox, Traveling Mailbox and US Global Mail. Traveling Mailbox's help center says a customer cannot file a USPS change of address away from the mailbox, so senders have to be told directly (Traveling Mailbox help).

Steps in order

  1. List every place the LLC gave the old address: the state record, the IRS, banks, payment accounts, vendors, customers and any online profiles.
  2. Line up the replacement address first, whether that is a new mailbox, an office or a home address. A new mailbox needs its own Form 1583 before it can receive mail.
  3. Check whether the old plan included registered agent service. If it did, name a new agent before the old one ends.
  4. File the state change for the mailing or principal address and, where it applies, the registered office or agent.
  5. File Form 8822-B for the IRS business mailing address or location.
  6. Tell banks, payment platforms, vendors and customers directly. USPS rules say neither you nor the CMRA files a change-of-address order when the agency ends, so senders need the new address from you.
  7. Download scans and ask about forwarding of anything still in storage. Then cancel, ahead of any auto-renewal date.

Common mistakes

  • No Filing a USPS change-of-address order. DMM 508.1.8.4 says neither the addressee nor the CMRA files one.
  • No Cancelling before the state and IRS records point to the new address.
  • No Forgetting that a bundled registered agent ends with the plan. Providers such as PhysicalAddress.com advertise a free registered agent service with an account, and iPostal1 sells one as an add-on.
  • No Assuming the provider will forward mail for six months. Some pages say mail is returned or shredded.
  • No Missing the renewal cutoff. iPostal1 states a five-day cutoff before the anniversary date.
